We are seeking a proactive and responsible Legal PA to deliver a professional secretarial, organisational and administrative service, including supporting client billing, for an allocation of lawyers within our Tax & Incentives practice.
This is a dynamic role requiring initiative, excellent organisational skills, and a client-focused approach. You will manage diaries, inboxes, travel, and client relationships, while also supporting business development and billing processes. You will work as part of a supportive team, contributing to a collaborative environment and providing cover as needed.
We offer a hybrid working pattern, with up to 40% of time working from home and 60% in the office, and are happy to consider agile and flexible working arrangements.
Key Responsibilities
- Take ownership of tasks, ensuring high-quality, on-time delivery; organise and prioritise workload in a dynamic environment.
- Proactively manage diaries, meetings, conference calls, and travel arrangements, adhering to global travel policies.
- Support inbox management, including e-filing, and maintain accurate filing systems in line with archiving protocols.
- Build strong relationships with fee earners, clients, and client PAs; take ownership of client enquiries, resolving or escalating as appropriate.
- Assist with business development activities, including pitches, CVs, and credentials.
- Support the client billing process using 3E, preparing and generating bills, tracking payments, and liaising with the billing department.
- Demonstrate understanding of risk and compliance procedures, including client engagement letters.
- Contribute to team administration, provide cover for colleagues, and support wider department tasks as needed.
- Proficient in working with long and complex documents, applying house style, and proofreading for accuracy.
Skills and Experience
- Previous legal PA experience.
- Excellent written and verbal communication skills.
- Strong document production skills.
- Billing experience, preferably with 3E.
- Accurate typing at a minimum of 60 wpm.
- Advanced knowledge of MS Outlook, Word, Excel, and PowerPoint.
- Excellent organisational and administrative ability with strong attention to detail.
- Self-motivated, proactive, and able to work independently.
- Client-focused approach, both internally and externally.
- Resilient and adaptable, with the ability to maintain performance under pressure.
- Flexibility with overtime.
- Minimum 5 GCSEs or equivalent at grade 4 or above, including English and Mathematics.
