Apply in confidence →Our Brisbane Real Estate team is seeking a highly organised and proactive Legal Executive Assistant to provide dedicated support to senior fee earners in a dynamic, full-service environment. This permanent, full-time role is ideal for a self-starter who thrives on juggling competing priorities with sound judgment, exceptional coordination, and a collaborative, client-focused mindset.
Key responsibilities include:
- Proactive diary, email, and travel management for senior fee earners
- High-volume file management, including file opening/closing, electronic and physical filing, scanning, printing, and archiving
- Document production and amendment in the Microsoft Office Suite, including advanced MS Word
- Monthly client billing, expense reconciliation, and financial hygiene support (debt collections, voucher requests, client monies, and reporting)
- Arranging general and trust account receipting and disbursement of funds
- Building and maintaining client portfolios, databases, and key contact information
- Coordinating meetings, settlements, and client communications
- Applying AML procedures accurately and consistently in daily practice
- Developing strong working relationships with stakeholders, clients, and team members across the firm
What you'll bring:
- Prior experience as a legal assistant, ideally within a legal or professional services environment
- Excellent prioritisation, organisation, and attention to detail
- A proactive, flexible attitude and high degree of initiative
- Clear and confident communication skills at all levels
- Experience with file management software (preferably iManage) and account management software (preferably Elite)
- Advanced MS Word skills and strong MS Office proficiency
- Familiarity with PEXA and LRS for settlements (desirable)
